Quick answer
On-demand swag is branded merchandise produced or decorated only after someone orders it. It removes the need to buy finished inventory in advance and can support orders of one on suitable products. The trade-off is usually a higher unit cost and a wait for production; stocked swag is better when speed or a predictable large quantity matters most.
Why do companies end up with boxes of unused swag?
Bulk purchasing asks HR to predict demand before employees choose. A team orders 100 hoodies, but the size mix is wrong, hiring slows, or the logo changes before the last box is used. A lower quoted unit price does not help if the merchandise never reaches a recipient.
For illustration, buying 100 hoodies at $25 each costs $2,500. If only 60 are used, the purchase cost per hoodie actually distributed is $41.67, before storage or shipping. These are example numbers, not Urban Swag prices or an industry average. The useful comparison is cost per item used, not just cost per item bought.
Is on-demand swag the same as shipping from a warehouse?
No. Made-to-order swag is produced or decorated after an order. Warehouse fulfillment ships finished merchandise that someone already purchased. Both can offer a self-service company store, but only the first avoids buying branded inventory up front.
A provider may hold unbranded blanks and decorate them as orders arrive. The company does not need to store boxes of finished swag or pay to hold its own branded inventory. However, on-demand does not guarantee every blank, colour, or size will always be available. Ask which model applies to each product, rather than relying on the phrase “on demand.”
Our warehousing guide covers the stocked model. It is a different operating choice, not another name for manufacturing after an order.
Does on-demand swag mean no minimum order quantity?
On-demand production can allow a quantity of one when the product and decoration method support single-item work. It is not a promise that every fully custom item can be made individually. Custom manufacturing, packaging, or a particular decoration process may require a batch.
Urban Swag's ordering model has no minimum order quantity. For a company store, still confirm the approved product, artwork, and method before launch. A request for one stocked blank with a logo is different from developing an entirely new product.
- Ask whether the minimum applies per design, colour, size, or total order.
- Confirm whether setup or artwork preparation is charged on the first order and reused later.
- Check whether single-item orders can ship separately without waiting for other employees.

Is on-demand swag cheaper than buying in bulk?
Not necessarily per item. Small production runs have fewer units over which to spread setup and handling. On-demand can still cost less overall when it avoids unused stock, storage, or cash tied up in merchandise. Compare the full program cost under the same expected demand.
Using the earlier example, 60 made-to-order hoodies at an illustrative $35 each would cost $2,100, versus $2,500 for the bulk purchase. If all 100 were needed, the same on-demand price would cost $3,500. Neither approach wins in every case; the decision changes with actual demand.
Include decoration, setup, packaging, shipping, tax, and any storage or fulfillment charges in both quotes. Shipping one hoodie to each of 60 homes is a different cost structure from sending one box to an office.
How long does on-demand swag take to arrive?
An on-demand order needs time for any required approval, production, and carrier transit. A stocked order skips production only if the exact finished product is available. “Ships in 5 days” and “arrives in 5 days” are not equivalent.
Urban Swag's FAQ describes standard turnaround as 10 business days from artwork approval. Confirm the quoted dispatch and arrival dates for your actual product and destination; do not treat that general turnaround as a universal delivery guarantee.
If a new hire starts next Monday, an unapproved made-to-order hoodie is a risky welcome gift. Use an already approved stocked item, send a digital welcome message first, or explain that the merchandise will follow. Allow extra time for international transit and customs.
When does holding swag inventory still make sense?
Hold finished stock when demand is predictable or an immediate handoff matters: a conference with 200 confirmed attendees, office visitors, or a steady onboarding program using the same approved kit. Bulk production can also be the better option for designs or products that require batch manufacturing.
A hybrid store can stock a few dependable items and make less predictable apparel or seasonal designs to order. Review stock by product, size, and age every month; an aggregate count of 100 items can conceal 90 units in the wrong sizes.
