An employee swag shop is a branded online collection where your team chooses merchandise, sizes and colours using a company-provided budget, rather than asking HR to collect everyone's preferences. In Urban Swag's budget-based setup, employees sign in through an emailed link, choose from the shop's products, enter delivery details and submit an order for approval. Approved orders move into production or fulfilment and can ship directly to each employee.
What does HR decide before the shop opens?
The company chooses the collection, the allowance employees receive, who can access the shop and who approves orders. This is a curated company collection, not an instruction to let employees browse an unrelated retail catalogue. Offer products you are comfortable funding and make the eligible colours and sizes clear.
Name a client admin to manage your side of the programme. They need to know who can order, how invitations will be sent and how approvals should be handled. Review the employee view before sharing the link: product prices, available options and the budget should make sense together without a separate explanation from HR.
How does an employee sign in for the first time?
In the email-link flow, an employee opens the shared shop link, enters their work email and clicks the sign-in link sent to that address. There is no separate employee password-registration form. An authorised admin can also send an invitation that includes a link into the shop.
Access still follows the shop's configuration. A link does not mean that any address is automatically entitled to company funds. Agree the permitted audience before launch. On first sign-in, the configured default allowance opens in the employee's wallet; a returning employee uses the same account and balance.
How does a set employee budget work?
The allowance is the amount the company makes available for that employee's shopping. In a dollar-budget shop, the employee sees prices as money and can see the remaining allowance while choosing products. A later visit does not create a fresh allowance simply because they signed in again.
Pending orders reserve the company-covered amount, so an employee cannot commit the same funds through several submissions. The reservation is settled when final approval is complete, or released if the order is rejected or cancelled. That distinction matters: an order awaiting review can affect available funds even before production begins.
Where personal overage payments are enabled, checkout separates the total, the company-covered portion and the amount the employee must pay. The employee pays that difference through Stripe-hosted checkout. Payment confirmation does not skip the approval process, and the company is not charged for the employee-paid portion. Confirm that policy for the particular shop rather than assuming every programme allows overages.
How do employees choose the right size and colour?
Employees select from the options offered for each product, using the product photos and size guide to decide. HR no longer needs to guess a clothing size from an old list or ask managers to collect preferences informally. The choice belongs to the person who will wear the item.
Keep the collection understandable. A product should show what is being ordered, its price, offered colours and relevant sizes, and any minimum quantity that applies. If those details do not work with the allowance or intended individual orders, correct the collection before launch. A shop is not ready merely because its banner looks finished.
Employees should check sizing before committing. Made-to-order items are not a try-on service, and the checkout should make the no-size-exchange expectation clear. Point people towards the product's size guide before the final ordering step, not after an unsuitable size has been produced.
What happens between submission and production?
In a two-stage setup, the employee submits an order and it first waits for the company's client admin. That person reviews the request and either approves it or rejects it with a reason. Approved orders then wait for Urban Swag's review before they are confirmed for production.
The employee can see the status in order history and receives the relevant approval or rejection emails. Submission is not a shipping confirmation, and neither is company approval. If the employee has paid an overage, that payment does not make the order automatically approved. Rejection or cancellation releases the company allowance and initiates the return of any paid personal contribution.
How do the products get to each employee?
The employee supplies delivery details when ordering, rather than relying on HR to distribute every package from an office. A recipient can use a home or office address. Urban Swag ships merchandise to multiple addresses across the US as a standard part of what we do.
The fulfilment model depends on the collection. Made-to-order products need production or decoration after approval. Stored merchandise can be prepared from inventory already purchased. Read our guides to multi-address shipping and warehousing and fulfilment to plan the distribution alongside the shop, rather than treating delivery as an afterthought.
When is a shop better than a bulk order distributed by HR?
A shop is useful when employees want different products, sizes or colours, when people join at different times, or when the team is spread across locations. It connects each person's choice, allowance and delivery details to their own order. HR spends less effort acting as the person between a preference spreadsheet and a packing list.
A single bulk order may be simpler for an event where everyone receives the same item at the same place. A shop adds less value if there is no meaningful choice and no ongoing ordering need. The decision should follow how your team receives merchandise, not a belief that every programme needs a storefront.
What should a client admin check before sharing the link?
Use the employee view to check access, the opening allowance, product options, prices, minimums, size guidance and delivery fields. Then check the approval route with the people responsible for each stage. Tell employees who can help and what happens after they press submit.
If the collection and workflow match the programme, the shop becomes a repeatable way to offer merchandise without recreating the process for every hire. Frequently asked questions
Do employees choose their own clothing size and colour?
Yes. Employees choose from the colours and sizes offered for each product in their shop. They should check the product's size guide before ordering rather than relying on HR to guess a size.
Does an employee need a separate registration process?
For a shop configured with email-link sign-in, the employee enters their work email and clicks the emailed link. First sign-in creates their account and opens the configured allowance. Later sign-ins keep the same wallet rather than issuing a fresh budget.
Is an employee's order produced as soon as they submit it?
Not when approval is required. In the two-stage approval setup, the order waits for the company's client admin and then Urban Swag. Submitting an order, or paying a personal contribution, does not bypass approval.
Can employee swag orders go to home addresses?
Yes. Employees can provide home or office delivery details when ordering. Urban Swag ships to multiple addresses across the US as a standard part of the service.
